Administrative Assistant

Description

The Administrative Assistant performs administrative duties for the executive management through answering phones, planning meetings, preparing financial reports, maintaining a professional image for clients and potential clients, and relieving executive management of tasks and organizational duties.
In the performance of their respective tasks and duties all employees are expected to conform to the following:
  • Perform quality work within deadlines with or without direct supervision.
  • Interact professionally with other employees, customers and suppliers.
  • Work effectively as a team contributor on all assignments.
  • Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.

In the performance of their respective tasks and duties Executive Assistant is expected to conform to the following:
  • Relieve executive management of administrative details of all projects
  • Update and maintain calendar including task management, meeting arrangements, and contact organization
  • Demonstrate initiative in executive manager’s absence
  • Monitor and maintain progress of ongoing projects
  • Submit payroll for approval
  • Compose correspondence and/or reports for signature
  • Organize incoming communications in priority action
  • Compile all work earned by President through meetings and client interactions
  • Research and draft components of business growth per executive manager’s direction
  • Attend and Participate in Regular Staff Calls or Meetings
  • Record minutes and disseminate from all staff calls or meetings
  • Participate in marketing efforts
  • Maintain full confidence of executive management team
  • Maintain and order office supplies
  • Seek training on projects outside range of skill and knowledge
  • Represent in a professional manner in the absence of the executive managers

Experience:

2 or more years in an administrative support position

Required Skills:

Excellent Verbal and Written Communication Skills; Ability to Manage Time Effectively; Strong Interpersonal Communication Skills; Proficient in Microsoft Outlook, Word, Excel, Power Point; Ability to Work Independently; Possess an Entrepreneurial Spirit; Valid Indiana Driver’s License

Preferred Skills:

Knowledge of financial & technology industries

Physical Requirements:

Ability to stand and/or sit for extended periods of time
Education: Bachelor's Degree OR equivalent work experience.

Compensation:

$10 and up
